Becoming an Executive Assistant would allow you to be involved in the Adult Correction Administration, assisting the Chief and Deputy Chiefs of Corrections. Your duties will include handling confidential information regarding the hiring of personnel, disciplinary documentation, and reports.  You will maintain financial records for inmate welfare accounts and jail contracts, along with the responsibility of responding in a timely manner to all FOIA requests related to corrections. You will be required to enter a secured perimeter of the Jail facility and will be exposed to inmates.

Essential Functions:

  • Executive Assistant for Chief and Deputy Chiefs of Corrections.
  • Able to maintain confidentiality when assisting with disciplinary documentation, the hiring process for Corrections, and inmate programming.
  • Maintains confidential information and personnel files for Sheriff employees.
  • Answer correspondence pertaining to the division or department; compile various statistical reports as requested.
  • Coordinate and maintain the database for contracts and tracking of inventory.
  • Responsible for answering FOIA-related requests to the Jail.

Knowledge Skills Abilities and Education Required:

  • Requires considerable knowledge of office management and supervisory practices and techniques.
  • Maintain complex and confidential records.
  • Familiarity with the FOIA process.
  • Effectively communicate with County officials and respond to questions from division heads, staff, and the public.
  • Microsoft Office Skills.
  • Reads technical instructions, charts, and/or procedures manuals; composes routine reports and completes job forms; speaks compound sentences using standard grammar.
  • Performs coordinating work involving guidelines and rules with constant problem-solving; requires continuous, close attention for accurate results or frequent exposure to unusual pressure.
  • Makes decisions with moderate impact – affects those in the work unit.

Education Requirement:

  • Requires High school diploma or general education degree (GED) equivalent.
  • Requires 1 year of general office experience.

Supplemental Information:

Physical Requirements

  • Requires light to medium work involving standing or walking some of the time.
  • Exerting up to 50 pounds of force on an occasional basis.
  • Moderate dexterity in operating office equipment.
  • The position requires normal visual acuity and field of vision, hearing, and speaking abilities.
