The Public Works department is seeking a talented individual to join our team as a Services Representative to support the office functions of the department by performing a variety of clerical duties. Work is of routine difficulty and is reviewed for progress and conformance to established standards by the Assistant Public Works Director and Operational Managers/Supervisors. Provides support for all functions of the department including Natural Resources and Facilities, Streets, Utilities, Vehicle & Equipment, Pace Transportation Services, and Administration.
Key Responsibilities
Duties include greeting, assisting, and directing office visitors and telephone calls coming into the department and initiate work into computerized maintenance management system or direct to other departments in the Village; monitor and respond to the Public Works Service email account and OP311; and registers training including processing all paperwork and maintaining records. This position also inputs requisitions and purchase order change orders; processes various types of invoices and reconciles purchase card transactions and employee reimbursements; inputs electronic work orders; creates and maintains various excel spreadsheets to track vendors and risk survey items; maintains inventory of office and domestic supplies; completes mailbox and irrigation reimbursement; assists Streets to complete snow reports as needed; develops Waste Management’s sweeping schedule calendar; updates duty callout sheet and calendar for Supervisors and Staff; and creates restoration tickets as needed from dig sheets. Additionally, this role will processes hydrant pressure requests; make inspection appointments with vendors and residents; update Village Code and Land Books; prepare daily schedule, surveys, and reports for Pace Transportation; process applications for various programs such as Adopt-a-Park and the Memorial Tree and Bench Program; perform a wide-range of clerical assignments necessary to accomplish the efficient day-to-day flow of service requests, information and data in the Public Works Department; process claims for damages to Village property to include spray paint, burned rubber, trees, playgrounds, lights, signs, brick work, and other items; print and fold flyers or letters to be distributed to residents; and other clerical duties as assigned. Scheduled hours are 8am to 5pm.
Qualifications, Knowledge, Skills
A High school diploma or G.E.D. Certificate supplemented by courses in typing and office procedures is required. A minimum of one (1) to three (3) years of prior Public Works Department experience is highly preferred. Minimum of one (1) year of previous clerical experience is a must.
The ideal candidate will possess strong skills in operating office equipment including but not limited to: telephones, radio base stations, photocopiers, fax machines, computers and printers is required; extensive understanding of office software including word processing, PowerPoint, spreadsheet creation/manipulation and database software such as Microsoft Word, Excel and Access is mandatory; knowledge of office terminology, procedures and practices; record keeping and filing; and business arithmetic.
In addition, this role must have the ability to make accurate mathematical computations; understand and follow oral and written instructions; read, write, speak, spell and understand business English; write legibly; maintain a business atmosphere; establish and maintain effective working relationships with others; and maintain composure, remain tactful and courteous in stressful situations.
Compensation & Benefits
The Village of Orland Park offers a market competitive total rewards package that includes a base salary range between $48,769.15 and $67,142.08, depending on qualifications.
Anticipated starting salary is $58,500.00.
